Generating a warm welcome for 2012 London Olympics
Background
The London Development Agency (LDA) is the Mayor of London's agency responsible for driving sustainable economic growth in London. With the Olympics Games headed to London in 2012, the LDA launched the London Ambassador's project to generate volunteers to welcome visitors to London for the event.
An easy to use website was required to facilitate registrations and guide users through the two tier process for selection. The application process would need to collate applicant data that would make selection of the right volunteers easy and reduce administrative effort with automated responses, reminders and reporting.
Solution
The solution delivery was split into two phases - the first phase was to enable 'would be volunteers' to register their interest. The second was to collate comprehensive information of those who had successfully completed phase one on which a decision could be made as to their volunteer suitability.
Building Blocks used the SDL Tridion platform tools Audience Manager and Outbound Email in phase one to send email newsletters to users with incomplete applications as a reminder to finish the application process so they could be considered as a volunteer. The LDA wanted to obtain approximately 30,000 applicants in phase one which was surpassed when this phase closed with 42,411 registrations.
The second phase allowed users who had completed phase one to provide further details to support their application such as knowledge of London and the surrounding areas. This phase also included a progress tracker for applicants to see how far they had come in the process and also allowed the user to confirm dates of availability and location preference for interviews.
Reporting was provided on a weekly basis through custom SQL reports providing information on number of applicants, number of applicants for each completed question and total number of completed applications. At the end of phase two the total number of completed applications totalled 21,271 - which more than exceeded the LDA's requirements for volunteers.
A spokesperson for the LDA commented 'The London Development Agency has been impressed with Building Blocks ability to deliver key pieces in a short time frame and their positive approach to providing professional solutions. Since launch the website has performed to the high standards required.'
